Financial Support Programme Administrator – Dublin – Irish Cancer Society

MAIN RESPONSIBILITIES:
Development and maintenance of key relationships
Keep internal teams informed and updated of available entitlements and benefits (Daffodil Centres and Cancer Nurseline)
Develop and deliver regular reports as required.
Create opportunities for Services team to present to key stakeholders about the Society’s services.
Participate in the development and delivery of strategies to promote the service to all key stakeholders through the use of local and social media, literature, exhibitions and other appropriate channels.
Financial Support – Application and payment processing

Maintain CARE database and all reporting features.
Process all Travel2Care & Financial Support applications in line with guidelines.
Administer payments:
Forward updated list/database to the Finance department.
Forward confirmation of bank transfer with a covering letter/email to the relevant healthcare professional/patient.
Communicate unsuccessful applications to the appropriate healthcare professional and lead out on difficult calls.
Verify if there is any other source from which funding can be sought such as Community Welfare Office, St Vincent de Paul, Money Advice and Budgeting Service etc.
Respond to queries in a supportive timely manner ensuring caller dignity and in accordance with the operational guidelines/policies of the Society.
Project Management

Identify key stakeholders for future partnerships.
Create pathways for initial key stakeholder engagement and participate in the practice of ongoing communication and information sharing.
Create a culture of reciprocal information sharing with all stakeholders including partners, volunteers and internal staff.
Recommend, implement and evaluate new initiatives to improve the effectiveness and efficiency of the service ensuring the maintenance of high quality standards
Participate in the development and implementation of the Financial Support Strategy.
Participate in development of Financial Information Training Plan and the support of staff in the delivery of Financial Support information updates (including Travel2Care).
Update all key stakeholders of any change to Financial Support or Travel2Care schemes.
Participate in the evaluation of both the Financial Support and Travel2Care services
Volunteer Driver Service

Process bookings from patients
Source volunteer drivers for patient appointments
Ensure patients are informed as early as possible about driver availability.
Process patient referrals from partner hospitals.
General

Update Financial Support and Travel2Care application forms as required.
Generate reports and assess trends/budget implications..
Ensure all aspects of administration comply with Data Protection Policy/Act.
Comply with Society complaints procedure, monitor complaints and provide feedback to managers.
Participate in support & supervision.
Work with relevant departments to maintain and develop high quality information both printed and online.
Update and maintain the internal Transport List and Resource Guide of voluntary initiatives nationwide.
Ensure information about the financial support and Travel2Care schemes is accurate on other websites e.g. HSE and Citizens Information.
Attend relevant courses/workshops/conferences as appropriate.
Keep informed regarding Society campaigns and events, which may result in an increased number of calls on a specific issue.
Provide reception cover as required (on rota basis).

Person Specification

Essential
Clean driver license is essential.
Excellent administrative, caseload management, file management, and time management skills.
Excellent numerical acumen.
Excellent written and verbal communication skills, with the ability to communicate in a positive manner using tact, diplomacy and teamwork.
The ability to work independently as well as part of a team.
Ability to prioritise workload and meet deadlines.
Discretion with confidential information required.
In depth knowledge of word processing, spreadsheets, data entry, database management and reporting.
Be willing to work and attend evening and occasional week-end events.
Be prepared to travel as required.

Desirable
Knowledge and expertise of delivering information on benefits and entitlements for those with a cancer diagnosis.
Knowledge and experience of other grant making organisations.
