General functions

IOM Ireland carry out a range of migrant-assistance programmes, chief among which are its Voluntary Return and Reintegration Programmes (VARRP) that are open to migrants from non-EEA countries who wish to return home voluntarily but do not have them means nor the necessary documentation to do so. IOM assists with obtaining the necessary travel documentation, as well as covering the financial costs of the travel from Ireland to the country of origin. In addition, a small reintegration grant is available to all returnees to help cover the costs of an income generating activity, such as education; professional training and/or business set-up. The successful implementation of these programmes requires the completion of a number of operational and outreach duties.

Core functions/Responsibilities

Under the supervision of the Senior Programme Manager and receiving daily support and guidance, the incumbent will be responsible for:

    Operations

Be responsible for reception area; greet potential clients and visitors, onward team referrals, front office administration, calendar appointments management and backup assistance at Dublin airport when required;
Manage incoming IOM Ireland phone calls – referring onwards within the team where necessary, and logging messages where appropriate;
Be responsible for operational filing support of operational client files, and office admin paperwork;
Act as the IOM Ireland statistics focal point, producing and collating statistics on all IOM Ireland activities and maintaining accurate and appropriate statistical records to support programme reporting and programme development;
Close reintegration cases post monitoring, or those which have not been successfully monitored, update spreadsheet accordingly and file closed files.

    Outreach

Support with the maintenance and content drafting and updating for the IOM Stories of return website, linking also to the main IOM Ireland website. Monitor and report on access levels to both websites by the public;
Support in organizing workshops, seminars, and conferences for IOM in Ireland, and in preparing information bulletins and newsletters;
Provide administration and logistical support to the IOM Ireland Finance/HR Coordinator, and to the Communications team;
Perform any other duties as may be assigned.

Education and Experience:

High school diploma or equivalent.
Three year experience in the field of communications/ media/ PR/ international development/human rights/assistance to vulnerable groups; prior work in assistance to migrant population an advantage;
Excellent knowledge of MS Office Applications (particularly Excel and PowerPoint);
Strong work ethic, ability to follow procedures clearly and to work harmoniously with colleagues within a team in a multi-cultural environment. Ability to work independently with remote supervision;
Strong communication with excellent people and presentation skills and adaptable to working in a variety of settings is essential.

Languages

Fluency in oral and written English required. Any other IOM official language is an advantage.
