Role
CHI is seeking a full-time, permanent “Personal Assistant” to provide a comprehensive and confidential PA service to the Director of Housing Services & Community Engagement and the Director of Asset Management & Property Services, as well as a team administration service for their functional business areas, their teams to assist them in achieving their business objectives.
The “Personal Assistant” role is based on site in our Dublin West Office located at 123 Avondale Park, Mulhuddart, Dublin 15. It will be 35 hours work per week, Monday – Friday, 09:00 – 17:00. CHI facilitates hybrid working (part onsite, part remote); however the successful candidate will be expected to work onsite regularly and visit other CHI offices when the need arises.
Duties & Responsibilities
Personal Assistance
Complete a broad variety of tasks that facilitate the Director of Housing Services & Community Engagement and the Director of Asset Management & Property Services’ ability to effectively lead their respective divisions.
To manage, organise and prioritise administrative and diary arrangements.
Be responsible for efficient handling of all telephone and written correspondence to the Directors of Divisions, bringing to their attention and others in the divisions, items requiring their attention and maintain a “brought forward system” for diary and document management.
Team Administration
To organise and attend meetings across the functional teams as requested, make administrative arrangements and take responsibility for note/minute taking, ensuring action points are followed through.
Attendance at evening meetings and meetings at alternative offices as required.
Team Support
Work closely with all PA & Team Administrator colleagues across the business, to provide cover arrangements as required to ensure a seamless service is provided to the business.
Customer Service
To provide excellent customer service both internally and externally, ensuring the customer is at the heart of everything we do, understanding and delivering to their requirements.
Requirements
Essential:
Proven experience of working as a PA and a wide range of clerical skills, including minute taking summarising discussions and writing reports.
I.T. Skills – Microsoft office up to intermediate level including Outlook, electronic diary sharing and mail-merges.
Excellent communication skills (both written and verbal) with the ability to communicate and liaise with colleagues at all levels and, in addition, have an excellent telephone manner.
Flexibility and a willingness to undertake varied responsibilities with the ability to work on own initiative with minimal supervision and as part of a team.
Proven experience of delivering excellent customer services across the business.
Experience and ability to work as part of a team, possessing excellent interpersonal skills.
Permission to work in Ireland.
Desirable:
Experience/understanding of social housing issues.
Conditions of Employment
Salary
Competitive salary commensurate with experience. (CHI operates a performance-based salary model that allows for annual salary increases on a set salary range through performance).
Annual Leave
Annual leave will be 22 days (exclusive of 10 public holidays), plus an additional 3 Privilege days per year. Annual leave increases through length of service and can also be additionally accrued as paid time off in lieu of overtime (TOIL).
Pension
Co-operative Housing Ireland offers a defined contribution pension scheme. Employees have access to the scheme on successful completion of their six-month probationary period.
Training & Development
Continuous professional development, training & further education courses, study & exam leave and professional membership fees are paid for at CHI’s discretion where relevant.
Travel & Subsistence
Travel and subsistence expenses will be paid according to CHI Policy, similar to public sector rates.
E-Working Allowance
An Electronic Working Allowance is paid daily for remote working.
