Purpose of this Role
The Senior Governance and Data Officer will support the Head of Finance and Governance in ensuring YSI maintains the highest levels of governance and compliance. The role touches on a number of areas including the oversight of administration; human resources and IT and data management. This role works closely with YSI’s IT providers. The role of Office Administrator reports to the position.
The Person
You will be highly enthusiastic and passionate with a track record of proven experience working in a professional office environment. A great team player who is eager to make a difference by contribution to YSI’s work and is willing to get hands on involvement in the work. You will be organised and have good time and project management skills, with an ability to prioritise conflicting priorities. You will be highly proficient in technology and Microsoft applications, and general office systems and procedures.
You will hold excellent written and verbal communication and presentation skills and be able to work collaboratively with colleagues across the organisation as well as with stakeholders and external agencies/suppliers. You will be highly motivated, a self-starter who contributes to a positive work culture and you will enjoy working in a fast-paced environment on multiple cross cutting projects.
Key Accountabilities:
Operations oversight
Improve, develop and implement the YSI administrative and office systems
Admin support of meetings such as board and committee & management meetings (including minute taking as required)
Administrative support for the leadership team
Operational support for leadership team such as travel and meetings and correspondence when needed
Office Administrator reports
Governance &Compliance
Support the Head of Finance & Governance) in the:
preparation of board and committee papers & packs for distribution
administration of risk register and internal risk systems (training provided)
ensuring compliance with Health and Safety requirements
lead on GDPR practices across the organisation (training provided)
Data & IT Systems
Provide support to the Head of Finance and Governance in leading the YSI’s data & IT design team
Lead in the management of YSI’s Database system
Ensure the integrity of YSI information systems
Control access to data system to safeguard against data corruption
Co-ordinate support contract with IT support providers
Co-ordinate IT contracts and renewals – including software
Maintenance of hardware and maintenance equipment register
Arranging IT set up for new starter and close off for leavers
Champion continuous improvement and quality assurance in YSI data systems
Human Resource Support
Supporting Finance and Governance Manager on updating of HR policies & procedures Administration of starters and leavers process
Maintaining leave records
Assemble training documentation and communications packs as directed
Supporting managers in organising and tracking Induction of new staff
Co-ordinating and booking training for Staff & Managers
Reporting
Act as a central resource for all statistical information for the management team
Collate statistics into accessible reports, e.g. management report; board report; funder report; annual report
Reporting to management on participation trends and analysis of engagement
Other duties as required to support wider Organisation’s delivery on strategic goals, as agreed with Head of Finance and Governance

Location: This role is based in our Dublin office 2 days per week with remote working available on the other 32 days. Suitable access workspace and to Wi-Fi is required to avail of remote working option.
