Office Administrator – Holocaust Education Trust Ireland – Dublin

The position

A vacancy has arisen within the organisation for an Office Administrator in a charity, working in a dynamic and fast paced environment.  The successful candidate will be very motivated and provide high quality administrative support to the Senior Manager and the Director of HETI.  The role of Administrator with HETI offers a challenging opportunity for the successful candidate to enhance his/her personal development, develop a knowledge base and learn new skills.

The Organisation

Holocaust Education Trust Ireland is a non-profit national charity.  It was founded in September 2005 and is dedicated to educating and informing about the Holocaust and raising awareness about the dangers of racism and bigotry, while encouraging tolerance throughout Ireland.  HETI delivers teacher education programmes, programmes for schools, large scale national events, exhibitions, public lectures etc.

Principal Duties and Responsibilities.

Provide administrative support to the Senior Manager and to the Director across a range of projects and activities
The post holder will be required to take sole responsibility for certain aspects of HETI programmes and to share responsibility with team members where necessary
The postholder will be responsible for the daily management of the office including(but not limited to) managing incoming calls and emails and signposting and re-directing enquiries when necessary.  Management of the office diary including travel arrangements, processing payments, liaising with suppliers etc.
Other duties as may reasonably be assigned from time to time by the Senior Manager or Director

Specific requirements include:

Coordinating HETI events including (but not limited to) liaising with venues, booking presenters and speakers on behalf of HETI, management of attendee lists, arranging accommodation and travel requirements where necessary
Managing all aspects of HETI’s programmes includuing processing applications, marketing and prepartion of project materials
Minimum of three years administrative experience, preferably in a busy, dynamic office environment

Selection Criteria

Primary degree or equivalent
Two references essential
Experience in producing professional reports, documents and presentations. High level of profiency in MS Office and experience of database management
Experience with website management using WordPress and proficient in the use of social media in a professional capacity
High level of accuracy and attention to detail
Ability to plan, prioritise and work accurately under pressure to meet exacting deadlines in a busy, demanding environment
Proven ability to work on own initiative as a strong team member and a willingness to contribute to the organisation’s overall objectives
Discretion and good judgement in handling sensitive information
Flexibility around working hours will be required in response to the varying nature of HETI programmes and projects
