Admin Assistant – Misean Cara

POSITION SUMMARY
Misean Cara is seeking to recruit a suitable candidate for the position of Admin Assistant for a fixed term contract for 2 years. Reporting to the Office & HR Manager, the Admin Assistant will work alongside two Administrators in supporting all admin processes across the organisation including the new IT Project Management System, Mission Links. The Admin team consists of two Administrators and the Office & HR Manager.

Our members live within marginalised communities and work in the areas of education, health, sustainable livelihoods and human rights. Our members deliver high quality project results and have a deep-rooted presence in over 50 countries. With funding of €15.5 million in 2017 from Irish Aid, Mission Cara is seeking to develop a diverse range of other sustainable funding streams so we may continue to work in ways that transform lives while respecting the integrity of local cultures. Our new Strategy 2017-2021 sets out
five key objectives:

Enhance and promote the Missionary Approach to Development
Assist in organising logistics for in-house events (Sector based communities, Board and Committee Meetings) or off-site meetings such as Member meetings, AGM, etc.
Record minutes at staff meetings.
Update our IT Project Management System, Mission Links, as instructed. Training will be provided.
Other duties as required.
The tasks and responsibilities for the Admin Assistant role are as follows:
Answer the telephone and look after all visitors to Misean Cara in a warm and professional manner. Ensure all staff and visitors sign in and out.
Ensure sign in sheets are up-to-date for each month
Process the post and couriers – incoming and outgoing.
Ensure front office and meeting rooms are always tidy and presentable.
Assist with filing and preparation of documents for meetings, etc. as instructed by Office & HR Manager or Administrator.
Respond to requests for admin support across the organisation.
Liaise with agreed Misean Cara suppliers and order goods and services as instructed, ensuring stationery and catering supplies are sufficient.
Sign for all deliveries, having checked against order form.
Prior to month-end, ensure all relevant invoices are processed in time for monthly payment run.
Keep tidy the stationery room and assist in organising off-site storage files.
Organise items for special occasions (birthdays, new arrivals, etc.)
Assist in organising logistics for in-house events (Sector based communities, Board and Committee Meetings) or off-site meetings such as Member meetings, AGM, etc.
Record minutes at staff meetings.
Update our IT Project Management System, MissionLinks, as instructed (assisting with issuing contracts for example). Training will be provided.
Other duties as required.

Education and Experience:
Leaving certificate with Secretarial/PA training and/or on the job experience of working in a professional environment for 2 years
Excellent IT skills (MS Office – Word, Excel, PowerPoint), Salesforce calendar and Outlook
