Administration Officer – The Wheel – Dublin

OFFICE BASE: Dublin

REPORT TO: Business Services Manager

OVERALL PURPOSE & LEVEL:

This role is in the Business Services Unit.
The main strategic objective for this Business Unit is to ensure The Wheel has the systems, structures, processes, procedures and resources to deliver all of the strategic objectives.
The Administration Officer will work with the team to ensure the unit delivers support across the organisation.
The post holder reports directly to the Business Services Manager and will be expected to work closely with all Business Units.

WORKING RELATIONSHIPS:

The post holder will develop and maintain positive professional relationships particularly with colleagues, community and voluntary organisations and the range of people and organisations with whom s/he is in contact via email, phone, in person etc.

S/he will work in a respectful, co-ordinated and integrated way with colleagues, and in such a way as to encourage the best from, and support the efforts of, others.

MAIN RESPONSIBILITIES & DUTIES:

Answering telephone, responding to queries, directing callers to who/where they will find the information they require.
Provide administrative support needed for the effective running of training and other events organised by The Wheel [incl set up of laptop and projector]
Provide event preparation, registration and wrap-up.
Registration of event attendees on database
Ensure adequate stationery/office supplies
Bulk photocopying/printing tasks
Assembly of Membership & Board sub group packs
CEO/Manager support
Processing of orders
Management of meeting room booking system
Undertake formatting/tidy up work on Wheel database
Provide support in the form of holiday cover when required
Carry out such other duties and or projects as the Business Services Manager may determine, consistent with the overall purpose of the post
Provide general support to other business units as required.

EXPERIENCE REQUIRED

The ideal candidate will have:

Excellent communication and organisational skills,
Ability to work well under pressure, juggle various tasks and manage deadlines.
Administrative experience.
Professional phone manner
Excellent IT skills / general database/CRM experience.
Excellent written and spoken English.

LOCATION

The position is based in The Wheel Office in Temple Bar, Dublin 2.

CONTACT PERIOD

Initially 4 weeks, quite likely to extend to 8 weeks.

HOURS

Ideally 8.30am to 5pm, Monday to Thurs

REMUNERATION

€375 per week.
