Administrator – SAOL Project – Dublin 1

Overall purpose of Post
To be responsible for the overall financial and general administration of the SAOL Project in conjunction with the CEO and Executive team. To work alongside an existing staff team towards the smooth and efficient running of the service.

The Key Tasks involved in this post will be as follows:
Responsibility for the financial administration of the SAOL project in conjunction with the CEO the Executive Management team and the Board.
Responsibility for the administration and accounting of the FAS Community Employment Programme, i.e., ensuring that Wage Sheets, Materials Grant Claim Forms and Training Forms are properly completed, signed and sent into FAS at the appropriate times
Responsibility for the administration and accounting of other sources of exchequer funding
Calculating and paying wages for all participants and staff
Recording and paying sessional hours for contract workers
Generating cheque payments as appropriate
Maintaining an existing computer system of multi accounts
Ensuring all expenditure is receipted
Completing monthly bank reconciliations
Preparation of monthly financial reports for all accounts for management committee
Preparation (in conjunction with the Director) of annual budgets and cashflows
Monitoring cashflow and keeping the Director informed of potential critical cash flow situations
Preparing accounts to audit stage
Liaising with Auditor
General Reception/telephone duties
Maintaining update of office diary and updating Director’s diary
Responsibility for office stationery stock control
Responsibility for ordering Project resource materials in accordance with instructions from Director and/or Development Team
General secretarial support including typing, filing, photocopying, etc.
Distributing Post in
Responsibility for mailing outgoing post
Maintenance of Staff Signing In Book
Any other duties as may be reasonably assigned from time to time by the Director

Key Skills/Experience
Bookkeeping and knowledge and experience of financial control systems.
Knowledge and or experience of reporting process to statutory bodies (HSE/ DEASP/Poball and others as need arises)
Excellent IT and software management skills,
Ability to muti task and be prepared to remain responsive to the needs of the organisation.
The person(s) appointed will be mature and have project administration experience.
Responsible to: CEO

The CEO of SAOL in the first instance and ultimately to The Management Committee of the Project.
