Overview to Purpose of Post
The Deputy Manager, as directed by the PM will oversee and support all therapeutic actions of the organisations core services: including and not limited to Harm Reduction / Low threshold Service, Addiction / Substance Interventions, Family Support, Drug Rehabilitation Programmes and Community Employment Projects.
The Deputy Manager will be responsible for supporting the PM in ensuring that the delivery of service operations, staff management, service user / community relationship management, and ensure that the current monitoring systems and outcomes process are delivered to a high standard and in line with the projects ethos, and under the clinical governance set out in the projects policies and procedures.
Qualification/Skills Requirements
Essential:
A recognised third level qualification (minimum Level 7 Diploma) in Addiction / Community Development
A recognised third level qualification in Management.
5 plus years’ experience of working in an addiction service providing frontline therapeutic interventions and at least two years in a relevant management / team leader post.
Knowledge of addiction, recovery and harm reduction initiatives, mental health and wellbeing as outlined in the NDS and NDRIC.
Possess excellent analytical, communication, problem solving and decision-making skills
Proven experience in leadership and motivation of self and others and staff supervision
Excellent organisation skills, planning and project management skills and direct experience of developing, implementing and evaluating action plans.
Key Responsibilities and duties
Service Delivery
Line manage, supervise and support all full-time staff members/ team leaders.
Assist with the recruitment, induction and training of all staff & volunteers or supervise the delegation of said duties ensuring that all relevant and up to date HR policies and procedures are adhered to.
Ensure effective and efficient delivery of all core services provided by the Project are effectively managed within budget
Oversee the effective and efficient use of the eCASS client management system, monitor usage and ensure consistency of information across the services and produce monthly/quarterly service reports. It is envisaged that this will be a developmental task and will involve the ability to adapt / change the current process to ensure the service receives the best resources from this system.
Represent the Project at external conferences, training events, hosting internal information sessions and making presentations about the work of the project as directed by the PM
Principal responsibilities:
Leadership
Work with the team to ensure that the project provides a healthy environment for staff and service users. This will include insuring that the health, safety and wellbeing in the workplace polices are reviewed and overseeing of the day-to-day procedures.
To provide clinical governance and senior case management supports to the therapeutic teams and the broader project. To facilitate and support the NDRIC gaps and blocks process when needed.
To support the PM to implement organisational reviews and strategy development, develop and review policies, measuring outcomes and budgets ensuring the mission and strategic goals of the organisation are achieved.
Oversee that day-to-day service provision is run in an effective and efficient way ensuring best use of staff resources
Provide Project Management cover when the PM is on leave or unavailable.
Work closely with the PM to maintain quality relationships with key stakeholders to facilitate seamless service delivery and development, this will include representing the project on various committees and networking with external agencies as directed by the PM
Work to build capacity within the team through the training and development of staff
Operations
Proactively work with the PM to identify and source new funding streams for the Project / services users
Implement systems and structures to ensure comprehensive and accurate assessment of needs and required responses to deliver outcomes for service users
Report to the Project Manager / Board of Management on KPI’s and SLAs for the services within the scope of the Project
Staffing
Support the PM to lead and manage staff ensuring targets are reached and facilitating effective team meetings to ensure teams are performing to their maximum potential.
Ensure service teams are supported and monitored in the delivery of collective and individual targets.
Assist in the, co-ordinating and reviewing the agreed/approved individual work plans for staff and provide individual line management supervision as directed by the PM
Ensure the organisation operates to the highest principles of best practice in service delivery.
Implement recommendations from evaluations and reviews of services in the function.
Any other duties appropriate to the position and agreed with the PM
