Manager Community Services Programme (CSP): (Full Time 39 hours a week)
Reports To: Management Committee, Community Services Programme Co. Ltd.
The CSP Manager will run the Community Services Programme (CSP) in relation to the guidelines on delivery of the programme and in relation to supervising the day-to-day workload, administration and work plans of the staff on the programme. The CSP is a community based programme and operates on the Island community of Inishbofin Island, Co. Galway, Ireland. There are currently four staff working in the programme covering a range of Island services: Tourism and Marketing Officer, 1 fulltime and 1 part time Community Centre Supervisors and 1 part time Grounds Keeper.
Full responsibility for the successful day to day management, income generation, accounting, administration and responsibility for staff will be the responsibility of the CSP Manager. The Manager will report to, on a regular basis, the CSP Board of Management and develop the programme in conjunction with their direction.
The CSP Manager will liaise with the Local Community Development Programme (LCDP) on the island, to help promote participation in activities and avoid duplication of any plans or activities and to follow the implementation of the wider Island plan that the CSP fits into. The CSP Manager shall submit reports to the Board detailing the activities organised and plans for ongoing and future aims of the programme.
Duties:
Office/Premises
Overseeing the general maintenance of the CSP office and the office facilities
Ensuring that sufficient equipment and supplies to operate the office are available
Developing, implementing and reviewing office safety procedures
Maintaining an efficient, effective and pleasant working environment
Ensuring that the offices are open during the specified office hours
Maintaining accessible records and files
Information/Communication
Developing, maintaining and supporting IT and communications hardware and software
Monitoring and responding to project’s requirements
Maintaining and updating databases and records
Finance
Maintaining an efficient and accurate accounts system – using manual and computerised systems (Big Red Book)
Banking arrangements
Reconciling monthly statements and preparing monthly financial reports for the management committee
Compiling quarterly and annual financial returns/projections
Liaison with the auditors, the Government appointed bodies: Pobal and the Revenue Commissioners
Managing the wages, PRSI and PAYE returns
Maintaining an account system as laid out by Pobal
Income generation
Financial reporting to the Management on a monthly basis – or more frequently as directed
Reception
Maintaining a diary of events and timetables
Dealing with queries, messages, requests for information on the CSP
Receiving the public/visitors to the CSP project
Answering the telephone and replying to CSP project related E-mail’s.
Secretarial
General word processing including minute taking, recording decisions and preparing agendas for subcommittee and team meetings
Attending relevant meetings as directed
Representing the CSP at meetings, conferences or seminars as required
Typing and photocopying as required for the CSP
General
Participating as an active leader of the CSP team
Working closely with the Inishbofin Local Community Development Programme (LCDP)
Performing other duties that may be assigned by the Company from time-to –time.
