This is an exciting opportunity for a suitably experienced person to make a significant contribution to the achievement of ALONE’s vision and strategic goals. As the Volunteering and Events Coordinator, you will hold responsibility for the engagement and development of ALONE’s volunteers in addition to leading the configuration and development of events for older people. This role will mainly focus on volunteering and events management in Dublin and in the North East but will also encompass working at a national level. ALONE is an equal opportunity employer.
Volunteer Engagement:
Develop and implement programmes that promote the continuous improvement and engagement of Volunteers.
Lead and develop the role of volunteer Mentors in ALONE.
Lead and develop the role of the Volunteer Leadership Group (VLG) in ALONE.
Support volunteers to work safely and to develop a mutually beneficial relationship with older people availing of our services.
Ensure regular contact with volunteers to assess their progress and satisfaction, as well as to conduct evaluations or skills audits.
Manage communication among volunteers and between the organisation and its volunteers, in order to share news, progress, and available positions.
Cultivate a positive and supportive atmosphere by recognising volunteer efforts and assisting volunteers with their own endeavours.
Volunteer Development:
Assess the organisational and programme needs to determine the number and range of volunteers needed for particular projects.
Consult with colleagues to create descriptions and training requirement for all volunteer positions.
Support with volunteer recruitment and matching them with appropriate roles.
Create and distribute information regarding volunteer policies and procedures.
Ensure good maintenance of our database of volunteers, projects and metrics.
Promote the organisation, its volunteer efforts, and its accomplishments internally and externally.
Events Management:
Create event proposals which meet the older person’s requirements.
Plan all aspects of our events, such as venue, seating, dining, and guest list.
Delegate event tasks to other staff and volunteers where necessary.
Coordinate event entertainment, including music, performers, and guest speakers.
Managing and overseeing events on the day of, including problem-solving, welcoming guests, directing event set-up, communicating with staff, and organising vendors.
Develop models of engagement and sustainability for ALONE’s events and volunteering initiatives on a national level.
Work closely with the Services Manager, Staff, Intern’s & Volunteers on the team.
General Requirements for all ALONE staff:
Work to enable older people to remain at home with quality of life and independence.
Attend all meetings and training as requested.
Work professionally and confidentially and in line with ALONE’s rights and evidence based approach.
Keep all records, data and reports up-to-date and make these available upon request.
Participate in the development and implementation of all Quality Management System documents.
Participate in the efficient flow of information within the organisation by sharing and seeking information as appropriate.
Participate in and engage with the performance management programme.
To manage and deliver action plan items in line with ALONE’s strategic plan.
To undertake any other duties requested by the Manager and or CEO.
Person Specification:
Educated or currently studying at degree level 7 or 8 in a relevant discipline
Experience of Event Management and volunteer engagement.
Experience of (a) the voluntary sector and or (b) working with older people is an advantage.
Must be flexible and available to do evening and weekend work.
Self-motivated person who is passionate about the work.
Excellent inter-personal skills and experience of dealing with people.
Excellent Computer Literacy & ability to adapt to new systems.
An ability to maintain the highest standards of confidentiality and respect.
A full clean driving licence and access to own vehicle is required.
Position:
Fulltime position (35 hours Monday – Friday), initially one year contract
Reporting to the Support Services Manager.
Place of work: ALONE Offices, Olympic House, Pleasant St, Dublin 8
Travelling within the Republic of Ireland may be required
